Project Management
Translation Project Management
A Translate Russian Project Manager take pride in delivering a focused, quality service from receipt of material for translation to delivery of the translated product. A Project Manager, who is familiar with your industry sector and business need, will be assigned to a project and manage all phases of the entire project, from planning and scheduling through to quality assurance and returning the translated material back by the agreed deadline. The Project Manager acquires an in depth knowledge of the project and it’s requirements and gives the client a main point of contact ensuring clear, direct and effective communication throughout.
A client will benefit from having a single point of contact especially when managing large and multi-language translation assignments as it will ensure consistency of quality and litery style. Our technical translators and proofreaders work closely with our Project Managers to ensure that every translation delivered satisfies our quality standards.
The Project Manager's role includes project planning, scheduling, client/team communication, cost control, project tracking, reporting and troubleshooting. Their responsibility is to ensure that any arising linguistic issues are promptly resolved, that the timeline of each translation is respected, that your requirements and expectations are met for every project, while maximizing your savings on each project.
In Brief
* Project Managers select specialised resources while keeping a close
eye on the schedule
* Project Managers deliver regular status reports which keep the client
up to date on project progress with early detection and resolution of
potential issues
All our processes are quality focused, including preparing source text for translation, vetting, selecting and instructing translators, managing terminology for technical accuracy and consistency and checking and revising all translations. We assign a unique ID to documentation to ensure that all future requests for translations from a given company are allocated to the same translator. This way, consistency of style and language is maintained. We have glossaries and translation memory for specialised subjects, which we have compiled and every translator is asked to complete a quality control inspection report so that these can be constantly revised or updated.
Pre-Assignment
Initial contact with us initiates a defined sequence of pre-assignment
procedures:
1) Clear definition of parameters of assignment: target audience, delivery
format, deadlines, etc.
2) Assignment to a Project Manager, who will act as unique point of contact.
3) Review of source documents regarding levels of technicality, availability
of client or industry glossaries and any potential issues.
4) Initial feedback to the client with binding quote.
5) Agreement with the client on pricing, deadlines, glossaries and project
team.
Translation Assignment
Once agreement over a translation assignment has been reached, the following
workflow assures consistent quality for each individual translation assignment:
1) Scheduling - Delegation of responsibilities to various team members
(translators, proofreader, software experts, etc).
2) Drafting out detailed schedules and deliverables for each team member.
3) Job Preparation - Research of subject area background.
4) Terminology - Research of relevant technical glossaries database.
5) Integration of any available client-specific glossaries and terminology
databases.
6) Above resources are made available to all team members on the project
to improve their understanding of documents.
7) Actual Translation - Translation by one or more translators.
8) Use of translation memory tools to ensure consistency, both internally
and with previous client material.
9) Third-Party Proofreading - Independent proofreader with specific industry
expertise to review translation.
10) Emphasis on correct use of technical vocabulary, consistent style
and readability of whole document.
11) Post-Editing/Proofing - Final check on translation.
12) Checking of layout, to comply with client requirements regarding typesetting,
corporate colour schemes, file formatting, etc).
13) Translation Delivery - Product delivered to client for review and
feedback.
Post-Assignment Procedures
A quality assured translation company's work does not finish when the actual translation is delivered. Translate Russian's additional Feedback Analysis ensures that the client gets maximum value out of each individual assignment. An interative editing process based on client feedback where we discuss the completed project guarantees client satisfaction and long term benefits, with a view to streamlining and improving future projects.
Feedback Analysis
1) Interative amendments made on the basis of client feedback.
2) Feedback added to client file for use in future assignments.
3) Updated glossary of client and industry specific translations presented
to client for review.
4) Integration of reviewed client glossary and terminology in client-specific
translation memory database at Rosetta Translation, to be used in all
future assignments for the client.
Interpreting Project Managers
Translate Russian Project Managers offer a consultancy service and provide advice on interpreting issues. They are essential if interpretors are required for large conferences and are conducting "Simultaneous Interpreting". We also liaise between clients and interpreters to provide background information and discuss travel arrangements, accomodation, equipment, venue, source material etc.
An efficient project manager will:
* Help to identify client requirements.
* Analyse documentation.
* Schedule the work load appropriately.
* Select relevant professionals to complete the project.
* Formulate a project specific glossary of terms.
* Control costs.
* Oversee the quality control procedure.
* Track project from stage to stage.
* Keep communication lines open.
Systems & Proceedures
Glossaries
Glossaries play an integral part of our quality assurance cycle and are
built and maintained centrally. Translate Russian build and maintain glossaries
of technical terms or jargon that are industry or client specific.
For regular clients, these glossaries reflect any specific terminology
or jargon. As a result, each translation is stylistically consistent with
all previous corporate communications for that client. This process ensures
high quality and consistency throughout the translation of the project,
which may have to be split between multiple translators or across multiple
documents for the same client.
This database will then be made automatically available to translators and proofreaders working on future assignments. As a result, linguistic consistency is guaranteed, and production costs of translation work can be reduced in the medium to long term.
Translation Technology
We are committed to providing the highest quality of translations to all of our clients, from the very first assignment onwards. Translate Russian uses CAT (Computer Assisted Translation) tools to serve our customers.
We use:
* Translation Memory Tools - They are used by translators and proofreaders
to ensure that terminology is consistently used within and across documents.
* Data Mining Tools - They allow us to process existing translations from
a client and build up a terminology database, which can be used by our
translators in translation memory tools. They also allow integration of
existing multilingual client glossaries.
Repeat customers benefit from additional advantages, which derive from our use of this translation technology. This technology allows us to use previously translated client material, relevant client glossaries and terminology databases to improve the quality and consistency of translations, as well as speeding up delivery of completed translations. Our use of 'translation memory' ensures that client revisions of previous translations are 'remembered' and immediately integrated into subsequent work.
The key benefits to our clients are:
* Dramatically reduced revision time by client staff. Our use of 'translation
memory' ensures that client revisions of previous translations are 'remembered'
and all specific client preferences concerning style and vocabulary are
applied in subsequent work.
* Consistency in all corporate communications. The same multilingual terminology
is used consistently over time, thereby ensuring a stronger and sharper
message with increased stylistic and linguistic consistency in all our
clients' communications.
* Direct cost savings for translations. The build-up of a client's translation
database speeds up translation of subsequent documents.
Translation Memory Tools will:
Extract a list of candidate terms and probable translations from previously translated materials. Approved terms can then be transferred onto a client-specific database to be edited and approved by a terminologist.
Remember translations of segments for efficient future use in a memory as the translator translates them. If a segment reoccurs elsewhere in the text, the translator can summon its previous translation from the memory instead of having to re-translate or search for the segment in question. If a segment similar to a previous one occurs, the translator can summon a partial (or "fuzzy") match from the memory for editing.
Allow database storage and use of previously created material while updating and enlarging the database for future projects.
Translation memory tools should not be confused with 'machine translation'. The latter is produced entirely by computers. Their output quality is generally poor, and can at best be used as draft material, if at all. We do not use machine translation.
Formatting
Documents requiring technical translation often contain complex diagrams, drawings or cells. Translate Russian's quality assurance cycle ensures that, when a completed translation is returned, any illustrations or cells will be formatted so as to consistently represent those present in the source file.
Confidentiality
Translate Russian is a translation company where client confidentiality is paramount. We fully understand how important it can be to maintain strict confidentiality and are therefore happy to sign non-disclosure agreements when required to do so by the client. As this guarantee of confidentiality is an integral part of company policy this will not in any way slow down the process of our translation services. All client data remains of course subject to our confidentiality agreement and all incoming documentation is treated as confidential and is given a unique ID.
